Online Services Subscriptions Dashboard


The Online Services Subscriptions Dashboard page in MSPControl provides a subscription-level overview of Microsoft 365 online services for the selected organization. This dashboard helps administrators review which Microsoft 365 subscriptions are available, how many licenses are assigned, how many are already used, whether auto-renewal is enabled, and when each subscription is scheduled to renew.

It is useful for license tracking, renewal planning, quota review, and general Microsoft 365 subscription visibility. Instead of checking subscription status directly in the Microsoft 365 Admin Portal every time, administrators can use this dashboard as a quick operational overview inside MSPControl.

Online Services Subscriptions Overview

The Online Services Subscriptions Dashboard displays Microsoft 365 subscription products assigned to the organization. Each row represents one subscription offer, such as Exchange Online, Microsoft 365 Business Premium, Microsoft 365 Business Standard, Microsoft 365 E3, or Microsoft Teams Enterprise.

The dashboard is focused on visibility rather than editing. It helps administrators quickly understand the current state of subscription availability, quota usage, assigned license counts, expiration state, and renewal timing. This makes it especially useful when checking whether a tenant has enough available licenses, whether subscriptions are active, or whether upcoming renewal dates need attention.


Dashboard Header

At the top of the page, MSPControl shows the section title and a quick link to the Microsoft 365 Admin Portal. This link is useful when administrators need to move from MSPControl’s subscription overview into Microsoft’s native portal for deeper subscription management, billing review, or license administration.

The dashboard also shows the Full quota subscription status. In the example shown, the value is No. This value helps administrators understand whether the organization is using full quota subscription behavior or a limited/controlled quota model.


Subscription Table Columns

The subscription table provides a detailed overview of each Microsoft 365 online service subscription.

  1. Name shows the subscription product name and billing term. Examples include Exchange Online (Plan 1) P1M/Monthly, Microsoft 365 Business Premium P1M/Monthly, and Microsoft Teams Enterprise P1M/Monthly.
  2. Status shows whether the subscription is active or in another lifecycle state. In the example shown, the listed subscriptions are marked as Active.
  3. Total shows the total number of licenses available under that subscription.
  4. Scheduled for Reduction shows whether any license reduction is scheduled for the subscription.
  5. Managed by Partner shows how many licenses are managed by the partner.
  6. Managed by Others shows how many licenses are managed outside the partner scope.
  7. Valid shows the number of valid subscription licenses.
  8. Suspended shows the number of suspended licenses or subscription units.
  9. Expired shows the number of expired licenses or subscription units.
  10. Renewal Date shows the next renewal date for the subscription.
  11. Auto Renew shows whether automatic renewal is enabled for the subscription.
  12. Trial shows whether the subscription is a trial subscription.
  13. Assigned shows how many licenses are currently assigned to users.
  14. Quota Used shows how much of the available subscription quota is already consumed.

Quota and License Usage

The Quota Used column provides a quick visual indicator of license consumption. In the example shown, each subscription displays a badge such as 6 of 6, 1 of 1, or 3 of 3. This means the assigned or consumed quota is already equal to the available quota for that subscription.

This is one of the most important parts of the dashboard because it helps administrators immediately identify subscriptions with no remaining available licenses. When quota is fully used, new users may not be able to receive that product until more licenses are added, existing assignments are adjusted, or a subscription is changed.

The Assigned column should be reviewed together with Total and Quota Used. For example, if the total is 6, assigned is 6, and quota used shows 6 of 6, the subscription is fully allocated.


Renewal and Subscription Status

The Status, Renewal Date, Auto Renew, and Trial columns help administrators understand the lifecycle of each subscription.

  1. Status confirms whether the subscription is currently active.
  2. Renewal Date shows when the subscription is expected to renew.
  3. Auto Renew shows whether renewal will happen automatically.
  4. Trial indicates whether the subscription is a trial offer.

Some subscription rows may also display cancellation-related text under the subscription name. This provides additional timing context when cancellation or renewal changes are scheduled. Administrators should review these details carefully because they may affect future license availability.


Managed by Partner and Managed by Others

The Managed by Partner and Managed by Others columns help clarify who controls or manages the subscription quantity. This is useful in environments where subscriptions may come from different channels or where some licensing is partner-managed while other licensing is not.

These values help administrators avoid confusion when the total number of licenses does not fully match what they expect from the partner-managed subscription scope. When troubleshooting licensing mismatches, these columns should be reviewed together with Total, Valid, and Assigned.


How to Use the Dashboard

  1. Open Microsoft 365 > Online Services Subscriptions Dashboard.
  2. Review the Microsoft 365 Admin Portal link if deeper Microsoft-side administration is required.
  3. Check the Full quota subscription value to understand the quota model being used.
  4. Review the Name column to identify each subscription product.
  5. Check Status to confirm whether each subscription is active.
  6. Compare Total, Assigned, and Quota Used to understand license availability.
  7. Review Renewal Date and Auto Renew to understand upcoming subscription lifecycle events.
  8. Use Managed by Partner and Managed by Others to understand where subscription control belongs.

How This Dashboard Fits into Microsoft 365 Management

The Online Services Subscriptions Dashboard is useful because Microsoft 365 license management depends on both subscription availability and user assignment. A subscription can be active but fully consumed, or it can have available total quantity but still require review before assigning licenses to users.

By showing subscription status, assigned counts, validity, renewal dates, and quota usage together, MSPControl gives administrators a faster way to evaluate Microsoft 365 license readiness for the organization.


Best Practices

  • Review Quota Used regularly to identify subscriptions that are fully consumed before new users need licenses.
  • Compare Total, Assigned, and Valid together instead of relying on a single column.
  • Check Renewal Date before making licensing or onboarding plans, especially for subscriptions close to renewal.
  • Use Auto Renew and cancellation-related notes to understand whether a subscription will continue automatically or may change soon.
  • Review Managed by Partner and Managed by Others when license quantities do not match expectations.
  • Use the Microsoft 365 Admin Portal link when deeper subscription or billing management is required outside MSPControl.
  • Monitor subscriptions with full quota usage, such as 6 of 6 or 1 of 1, because they may block new license assignments.
  • Keep this dashboard as part of regular Microsoft 365 tenant reviews so license availability issues are detected before they affect user provisioning.
