OneDrive Storage Usage


The OneDrive Storage Usage page in MSPControl provides a storage overview for OneDrive accounts in the selected Microsoft 365 organization. It helps administrators review how much OneDrive space is being used by each user, how much storage remains available, what quota is assigned, and when content was last modified.

It is useful for monitoring storage consumption, identifying users with active OneDrive usage, checking quota allocation, and reviewing whether OneDrive content has been updated recently.

OneDrive Storage Usage Overview

The OneDrive Storage Usage page displays OneDrive accounts associated with the organization in a table format. Each row represents a OneDrive owner and includes storage-related information for that user’s OneDrive site.

This page is designed for visibility and review. It does not focus on editing OneDrive settings directly. Instead, it gives administrators a quick way to understand storage consumption across users and identify whether any OneDrive accounts require attention.

The page is especially useful when reviewing storage growth, validating quota usage, checking whether OneDrive sites are active, or preparing storage-related reports for customers or internal teams.


OneDrive Storage Table

The main table lists OneDrive owners and their storage details. The table includes both identity information and storage metrics, which makes it possible to connect storage usage directly to the user or owner account.

Each row includes the owner email address and the OneDrive site link, followed by storage and activity details. This helps administrators confirm which OneDrive site belongs to which user and how much space is currently being consumed.


Page Controls

  1. Column Visibility allows administrators to choose which columns are displayed in the table.
  2. Page Size Selector controls how many OneDrive records are shown on one page.

These controls are useful when the organization has many OneDrive accounts and administrators need to adjust the view for easier review.


Table Columns

  1. Owner / Site Link shows the OneDrive owner and the related OneDrive site URL. The owner is usually shown as the user’s email address, and the site link points to the user’s personal SharePoint/OneDrive location.
  2. Items Number shows how many items are stored in the OneDrive account. This can include files and other stored content items.
  3. Storage Usage, MB shows how much OneDrive storage is currently used by the account, measured in megabytes.
  4. Storage Available, MB shows how much storage remains available for the account, measured in megabytes.
  5. Storage Quota MB shows the total OneDrive storage quota assigned to the account, measured in megabytes.
  6. Last Content Modified Date shows when content in the OneDrive account was last modified.

These columns help administrators understand both capacity and activity. For example, a user may have a large quota but very low usage, while another user may have frequent modifications or a larger number of stored items.


Understanding Storage Values

The storage values are shown in megabytes, which makes it easier to compare usage, remaining storage, and total quota in the same unit. The relationship between these values is important:

  • Storage Usage, MB shows what has already been consumed.
  • Storage Available, MB shows how much space remains.
  • Storage Quota MB shows the total assigned storage limit.

In normal cases, the used storage and available storage should align with the total quota. Small differences can occur depending on how Microsoft reports storage values, rounding, or timing of the latest data update.


Last Content Modified Date

The Last Content Modified Date column is useful for understanding OneDrive activity. A recent date suggests that the OneDrive site is still being used or updated. An older date may indicate that the account is inactive, rarely used, or possibly suitable for review during cleanup or offboarding checks.

This column should not be used alone to make deletion or retention decisions. It should be reviewed together with the owner account status, user activity, storage usage, and organization retention requirements.


Summary Totals

At the bottom of the page, MSPControl displays summary values for the current OneDrive storage view.

  1. Total OneDrives shows the total number of OneDrive accounts listed in the current view.
  2. Total Size (MB) shows the combined storage usage across the listed OneDrive accounts.
  3. Avg. Size (MB) shows the average storage usage per OneDrive account.
  4. Total Items Number shows the combined number of stored items across the listed OneDrive accounts.

These summary totals help administrators quickly understand the overall OneDrive footprint without manually adding values from each row.


How to Use OneDrive Storage Usage

  1. Open Microsoft 365 > OneDrive Storage Usage.
  2. Review the Owner / Site Link column to identify each OneDrive account and its related site.
  3. Check Items Number to understand how much content is stored in each account.
  4. Review Storage Usage, MB to identify accounts using the most storage.
  5. Compare Storage Available, MB and Storage Quota MB to understand remaining capacity.
  6. Use Last Content Modified Date to identify recently active or potentially inactive OneDrive accounts.
  7. Review the summary totals at the bottom of the page to understand the overall storage footprint.

How This Page Fits into Microsoft 365 Management

The OneDrive Storage Usage page helps administrators monitor personal cloud storage usage across the organization. This is important because OneDrive can contain business files, synced desktop content, shared documents, and user-created data that may continue to grow over time.

By showing OneDrive usage, quota, item count, and last modification date in one view, MSPControl makes it easier to identify storage-heavy users, inactive OneDrive sites, and accounts that may require follow-up before migration, cleanup, or offboarding actions.


Best Practices

  • Review Storage Usage, MB regularly to identify users with unusually high OneDrive consumption.
  • Use Storage Available, MB and Storage Quota MB together to understand how close an account is to its limit.
  • Check Last Content Modified Date when reviewing potentially inactive or stale OneDrive accounts.
  • Do not make cleanup decisions based only on storage size. Also consider user status, retention policy, sharing requirements, and business ownership.
  • Use the Owner / Site Link value to confirm that storage data belongs to the correct user before taking action elsewhere.
  • Monitor the summary totals to understand the organization’s overall OneDrive storage footprint over time.
  • Review OneDrive usage before user offboarding, migration, or license changes so important data is not overlooked.
  • Use column visibility and page size controls to make large OneDrive lists easier to review.
