Cloud Folders Dashboard

The Cloud Folders Dashboard in MSPControl provides a centralized overview of folders hosted through the Cloud Folders service. It displays usage statistics, folder links, and organizational details, helping administrators quickly identify which folders consume the most space and how they’re accessed or shared.

Overview

When you open the Cloud Folders Dashboard, you’ll see a list of folders, their URLs (or shared links), and usage metrics such as:

  • Folder Name – The name or label assigned to each folder (e.g., “Accounting,” “Admin”).
  • Folder URL – A direct link or path to the folder in the cloud storage, typically accessible via WebDAV.
  • Used Space – How much data (in MB or GB) the folder currently contains, often displayed as a bar to visually indicate consumption vs. available quota.
  • Users – Number of users or peers who have access to this folder.

The dashboard may also display summary statistics, such as total used space across all folders or a pie chart showing usage distribution among various folders or departments.

Filtering and Organization

You can often select a Hosted Organization (tenant) or Customer to filter the dashboard to specific tenants if you manage multiple. This helps you focus on one organization’s cloud folders at a time. You might also see a View Type or similar selector to adjust how the folders are displayed.

Usage Statistics

Besides individual folder usage bars, the dashboard may include:

  • Pie Chart – Illustrating the percentage of total cloud storage used by each folder or department.
  • Bar Chart – Displaying usage per folder in a comparative format.
  • Summary Totals – Overall used space, remaining quota, or the number of folders in use.

This data helps you spot potential issues, such as a single folder consuming an unexpectedly large portion of the available space.

Folder Links and Sharing

Each folder’s URL is typically shown so you can quickly access or share it with authorized users. If you see a Users count or icon, clicking it may reveal which peers have access to that folder. Administrators can also modify sharing settings in MSPControl to grant or revoke access for specific individuals or groups.

Best Practices

  • Regularly Review Folder Usage – Keep an eye on the usage bars or charts to ensure no single folder grows unexpectedly large or exceeds its quota.
  • Use Organizational Filters – If you manage multiple customers, filter by organization to focus on a single tenant’s cloud folders, making it easier to spot usage patterns or anomalies.
  • Check Sharing Permissions – Periodically review which users have access to each folder. Revoke permissions for ex-employees or unneeded accounts to maintain security.
  • Plan for Capacity – If usage nears available quotas, consider increasing storage or cleaning up obsolete files to avoid disruptions.
